Privacy policy
This policy explains how Xander Workflow ("we", "us") collects and uses your personal data, in line with the UK GDPR and the Data Protection Act 2018.
Who we are
Xander Workflow is a UK-based business operating from Exeter, Devon. For any privacy question, contact hello@xanderworkflow.com. We act as the data controller for the information described below.
What we collect
When you submit the sign-up or contact form, we collect:

We do not collect special-category data, and we do not ask for payment details through this site.
Lawful basis
We process your enquiry on the basis of your consent and our legitimate interest in responding to a request you have made. You give consent by submitting the form; you can withdraw it at any time by emailing us.
Who processes your data
- Formspree — receives and forwards form submissions to us. See Formspree's own privacy terms.
- Google Ads / Google — if you arrive via an advert, Google may record a conversion. See cookies below.
We never sell your data, and we only share it with the processors needed to run the service.
How long we keep it
We keep enquiry details only as long as needed to respond and, if you become a client, for the life of that relationship plus any period required by law. If you do not proceed, we delete enquiry data within 24 months. You can ask us to delete it sooner.
Your rights
Under UK GDPR you have the right to access, correct, delete, restrict or object to our use of your data, and to data portability. To exercise any of these, email hello@xanderworkflow.com. You also have the right to complain to the Information Commissioner's Office (ICO).
Cookies & tracking (PECR)
In line with the Privacy and Electronic Communications Regulations (PECR), we keep tracking to a minimum.
- Essential only by default. The site needs no cookies to display its content.
- Advertising conversion. If you reach us through a Google advert, a Google Ads tag may set cookies to measure whether the advert led to an enquiry. This only runs when the tag is active and is used solely to measure advert performance — not to build a profile of you.
You can block or delete cookies in your browser settings at any time without affecting your ability to use the site or submit the form.
Terms of service
The service
Xander Workflow provides automated client-outreach assistance ("the service"): finding prospective customers, drafting outreach, and helping book calls. Nothing is sent on your behalf without your approval. Plans start from £97/month with no long-term lock-in.
Your responsibilities
- Approve outreach before it is sent and ensure it is accurate and lawful for your business.
- Comply with applicable marketing rules (including GDPR and PECR) for any contact you approve.
- Provide accurate information when signing up or using the service.
Signing up & no obligation
Requesting set-up carries no cost and no obligation to buy. Pricing shown on the site is indicative and may change; the price agreed at sign-up is the one that applies to you.
Liability
The service is provided in good faith. To the extent permitted by law, we are not liable for indirect or consequential loss, or for outcomes that depend on outreach you approved and chose to send.
Changes
We may update these terms; the "last updated" date above always reflects the current version.
